1. INTRODUCTION AND IDENTITY OF RESPONSIBLE PARTY

This Privacy Policy explains how Fit4 Padel (Pty) Ltd (F4 Padel, we, us, or our) collects, uses, stores, and protects your personal information when you use the Padel Vista mobile application (the App).

Under the Protection of Personal Information Act 4 of 2013 (POPIA), Fit4 Padel (Pty) Ltd is the responsible party for the personal information described in this policy.

This policy is written in plain language as required by section 22 of the Consumer Protection Act 68 of 2008 (CPA).

2. WHAT THE APP DOES

Padel Vista is a mobile application that analyses padel match footage using artificial intelligence. The App includes several features, including StatMe, Pongel, RallyStat and MoveMe.

How analysis works:

You upload a short padel match video clip through the App.
The clip is sent to Google’s Gemini API, which analyses the video using AI.
The AI identifies players, counts shots, scores technique, and generates coaching notes.
You receive shot counts, technique scores, coaching notes, and a written summary.

3. YOUR VIDEO IS NOT STORED BY US

We do not keep your video. It is not saved to our servers or to any storage we control.

To be analysed, the clip is sent to Google’s Gemini API, which:

Holds it temporarily while processing
Deletes it according to its own retention policy

We never share your video with anyone else, and we do not use it to train any AI model.

Google does not use videos submitted through the Gemini API to train their AI models.

4. INFORMATION WE COLLECT AND STORE

We store the results derived from your video, tied to your account, so your history survives changing device.

4.1 Account Data

Email address
Display name (if provided by Google during sign-in)
Google account identifier (never your password)
Account creation date and last used date

4.2 Sign-In Data

Sign-in links and session tokens stored only as cryptographic hashes
Browser/device description (user agent)
IP address requesting a sign-in link
Sign-in links expire after 15 minutes; session tokens expire after 30 days

4.3 Analysis Data

Filename of the uploaded clip
Clip length and analysis timestamp
AI-generated results: shot counts, timestamps, ball position, technique scores, coaching notes, written summary
Short appearance description of the tracked player
Technical details: AI model used, processing time, internal quality checks

4.4 Technical Data

Standard web infrastructure logs generated by Cloudflare (IP address, timestamps)

5. LAWFUL BASIS FOR PROCESSING

Under POPIA section 11, we process your personal information on the following lawful bases:

Contractual necessity (section 11(1)(b))

Processing your video to provide the analysis service
Storing analysis results tied to your account
Delivering sign-in emails

Consent (section 11(1)(a))

Given when you create an account and accept this policy
Given each time you upload a clip for analysis
You may withdraw consent at any time by deleting your account

Legitimate interest (section 11(1)(f))

Enforcing usage limits and preventing abuse
Storing IP addresses associated with sign-in requests
Maintaining technical logs for security and stability

We do not sell your information. We do not use it for advertising. We do not use it to train AI models.

6. HOW WE USE YOUR INFORMATION

We use the information we collect to:

Provide, operate, and improve the App
Process your video clips and deliver analysis results
Maintain your account and analysis history
Authenticate your identity and secure your sessions
Enforce usage limits and prevent abuse
Communicate with you about your account
Monitor the accuracy and performance of the AI analysis
Comply with legal obligations

7. OTHER PEOPLE IN YOUR VIDEOS

Padel is played two against two. Your clip will almost always contain other identifiable people.

Your responsibilities:

Inform other players that you are recording and submitting footage for AI analysis
Only upload footage you have the right to share

By uploading a clip, you confirm that you have informed the other players and have the right to submit the footage for analysis. We do not independently verify consent from other people in your videos.

Other players have rights under POPIA. If any person depicted in an analysis wishes to exercise their rights, they may contact us at admin@f4padel.co.za.

8. THIRD-PARTY SERVICE PROVIDERS (OPERATORS)

Under POPIA, the following service providers act as our operators:

Google (Gemini API)

Purpose: Video analysis
Data processed: Video clip content
Location: United States

Cloudflare

Purpose: Hosting and database
Data processed: All stored data (account, analysis results, logs)
Location: Western Europe

Resend / Amazon SES

Purpose: Delivering sign-in emails
Data processed: Email address
Location: United States (us-east-1)

Each operator processes information only for the purposes we specify and under written agreements that require appropriate security measures.

9. CROSS-BORDER TRANSFERS

Cross-border transfers occur when:

Google processes your video in the United States
Resend/Amazon SES delivers sign-in emails from the United States
Cloudflare hosts data in Western Europe

These transfers comply with POPIA section 72 because:

Operators apply safeguards substantially similar to POPIA
Transfers are necessary for contract performance
You consent to the transfers when using the App

10. DATA RETENTION

Your video: Not stored by us; temporarily retained by Google only during processing
Analysis results and account data: Kept until you delete your account
Sign-in links: Expire after 15 minutes
Session tokens: Expire after 30 days
Inactive accounts: Kept until deleted by you

Deleting your account permanently removes all associated personal information.

11. SECURITY

We apply appropriate technical and organisational measures, including:

Encryption in transit (HTTPS/TLS)
Cryptographic hashing of sign-in and session tokens
No password storage
Restricted access to production systems
Use of reputable, security-certified infrastructure providers

No system is perfectly secure, but we take reasonable steps to protect your information.

12. YOUR RIGHTS UNDER POPIA

You have the following rights:

Access to your personal information
Correction or deletion of inaccurate or excessive information
Deletion of your account and associated data
Objection to processing on reasonable grounds
Rights regarding automated decision-making (section 71)
Withdrawal of consent
Lodging a complaint with the Information Regulator

You may also download a copy of everything we hold about you, or delete your account entirely, from your account page at any time without contacting us.

13. DIRECT MARKETING

We send marketing emails only to people who have specifically asked for them. When you set up your account you are offered an optional tickbox to receive emails about new features, product news and occasional tips. It is unticked by default, you can finish setting up your account without it, and leaving it unticked has no effect on your use of Padel Vista.

If you tick it, we record the date and the exact wording you agreed to, so that what you consented to is a matter of record rather than of memory.

In line with POPIA section 69, we:

Obtain prior consent, which is voluntary, specific and explicit
Include an unsubscribe link in every marketing email
Honour opt-out requests without delay
Do not use your information for any purpose other than those described above

Unsubscribing stops marketing emails only. It does not close your account and does not stop the emails the service has to send you, such as sign-in links.
